Cancellation and No Show Policy

Purpose: 
To outline the policy for cancellations, rescheduling, and no-shows to ensure the efficient use of our resources and to provide the best possible care for all our clients. 

Policy: 

  1. Cancellation and Rescheduling: 
  • Clients must cancel or reschedule appointments at least 24 hours prior to the scheduled appointment time. 
  • Failure to cancel or reschedule within 24 hours will result in a charge of the full session fee.
  • If the cancelled appointment time is filled by another client, no fee will be charged.
  1. Appointment Reminders: 
  • A reminder text will be sent 48 hours before the scheduled appointment. 
  • Clients are required to reply ‘Yes’ or ‘No’ to the reminder text as soon as possible upon receipt.
  • It is the client’s responsibility to manage and remember their appointment times, regardless of the reminder text.
  1. Third-Party Payers: 
  • Third-party payers, such as Medicare and private health funds, do not cover late cancellations or no-shows fees. 
  • Clients are responsible for paying any cancellation or no-show fees incurred.
  1. Payment of Fees: 
  • Cancellation fees must be paid no later than 48 hours before the next scheduled session. 
  • If the cancellation fee is not paid within this timeframe, the upcoming session will be cancelled.
  • Future appointments will not be rescheduled until all outstanding fees are paid in full.

Procedure: 

  1. When an appointment is scheduled, the client will receive a confirmation and a reminder text 48 hours before the appointment. 
  1. Clients should reply to the reminder text promptly to confirm or cancel the appointment. 
  1. If a client needs to cancel or reschedule, they can do it via the Equal Psychology online booking system, sending an email to hello@equalpsychology.com.au or calling 03 8652-9499 
  1. If a client cancels or reschedules within 24 hours and the appointment slot is not filled, the full session fee will be charged. 
  1. The client is responsible for ensuring that any cancellation or no-show fees are paid before the next appointment.
